ExecuJet is currently seeking a suitably qualified person to fill a vacancy within the Maintenance department, based in Dubai, United Arab Emirates.

The main objective of the position is undertaking a variety of administrative, scheduling and managerial tasks in support of the Training department.

KEY RESPONSIBILITIES

  • Carrying out the day-to-day management of the MRO training program for all internal and external training requirements;
  • Assisting with preparation and monthly tracking of the Annual Training Budget;
  • Ensuring the annual Training Plan is comprehensively prepared to include all requirements of each department as well as forecasted needs;
  • Monitoring individual and company compliance to training requirements due to Certification, individual authorization privileges, or corporate need;
  • Managing external training for contracts, courses, travel, accommodations, transport and review of related incidental expenses;
  • Preparing training bonds between the company and employees per corporate policy;
  • Sourcing training providers to best serve the companies requirements and interest;
  • Coordinating between training suppliers and EJME for preferred pricing on training costs, payments and feedback;
  • Coordinating with the Quality System for the initial and continued approval of external training suppliers and ensuring only approved suppliers are listed/used;
  • Publishing training schedules and rosters for manpower planning and monthly reports;
  • Scheduling and booking of MRO personnel for all internal/external training events
  • Providing advanced notice and interim reminders to Management and Attendees of upcoming training scheduled;
  • Maintaining attendance records and issuance of certificates for training presented by EJME for either internal or external attendees as required;
  • Coordinating attendance/travel/access/payments for outside personnel attending training offered at EJME’s facilities or facilitated by EJME;
  • Updating training records and maintaining clear copies of those records in the Q-Pulse system for all MRO personnel;
  • Tracking training event expirations and recurrent training requirements;
  • Ensuring course evaluations are carried out by attendees, collected for analysis and utilized to identify areas for improvement;
  • Assisting with updates to MRO training manuals and procedures;
  • Creating, updating, formatting training presentations for content and presentation;
  • Issuing training notes, bulletins, read & sign documents through various means;
  • Maintaining discretion and an ethical approach while working within the policies and procedures of the company;
  • Assisting other administrative areas of the business when required as back up for annual leave, etc.

PERSON SPECIFICATIONS

Essential

  • Minimum 5-10 years’ experience administrative background
  • Excellent written and spoken English language skills
  • Ability to work in a highly organized manner where attention to detail, accuracy and confidentiality are critical
  • Ability to multitask and work under pressure
  • Strong time management and interpersonal skills with ability to work effectively with employees at all levels
  • Responsible, dedicated and highly motivated
  • Proficiency in MS Office
